Reports To: Operations Manager

Responsibilities Include:
  • Plan and deliver world-class incentive travel programs with an emphasis on creativity, high quality standards, and profit maximization.
  • Provide clients with absolute best customer service that exceeds their expectations by serving as their primary contact on all aspects of the program from registration to budgeting.
  • Act as the main point of contact for all supplier partners in the development of program specifications including function event orders inclusive of food and beverage, audio-visual and décor; managing hotel room blocks and attrition deadlines, payment schedules and final accounting.
  • Negotiate with suppliers and vendors to consistently optimize profitability without negative impact on the program requirements or guest/client satisfaction.
  • Lead travel program milestone meetings with internal teams to ensure team members understand expectations, responsibilities, and deadlines
  • Work in conjunction with the Air Department to communicate client and traveler requests throughout the registration process.
  • Manage all aspects of the event-related registration process including registration development and attendee communication.
  • Oversee the production of pre-trip mailing to all attendees containing all program travel-related information.
  • Liaison with Travel Director’s to ensure that all program details are transitioned thoroughly, ensure onsite deadlines are met, and travel staff is equipped with the knowledge required to service guests.
  • Collaborate with the Creative department to create inspiring program designs and accurate copywriting for all program-related materials.
  • Manage the program budget and post event reconciliation with accuracy and timeliness.
  • Communicate with Operations Manager through weekly meeting on daily priorities and status of programs
Job Skills Required:
  • College Degree is preferred, or minimum 1-2 years industry related experience
  • Possess a thorough understanding of the importance of excellent customer service
  • Comfortable with client facing activities and working with high-level executives
  • Excellent oral and written communication skills
  • Exhibit interdependent thinking, curiosity, keen attention to detail, exceptional organizational skills, adaptability in style, and ability to problem solve and be proactive
  • Ability to work effectively both independently and collaboratively
  • Proficient computer skills including Microsoft Office
