Group Air Planner

The Group Air Planner is responsible for working directly with our Manager of Air, Account Executives and Program Managers. This is a skilled position with a team of highly experienced incentive travel planners. This position will be fast -paced and a great opportunity for a unique exposure to the incentive travel and hospitality industry. You are expected to be an excellent multi-tasker with good organizational skills and outstanding customer service.

Reports To: Manager of Air Planning And Purchasing

Responsibilities Include:
  • Program managing for assigned files from time of transition through to post-trip meeting
  • Booking Airline reservations for programs assigned, utilizing Sabre GDS system
  • Delivering outstanding customer service over the telephone and via email
  • Issue tickets according to airline contracts and IATA rules and within established time frames. Update ARC payment data in Triptrak for accounting’s financials
  • Tracking all your financial expenses for all tickets purchased, including all charges done by company’s credit card usage
  • Monitor all flights as assigned, and work with airlines and TD’s to resolve misconnect and cancellations by providing protection on alternate flights, and resolve problems as, or even before they occur. Keep TD’s up-to-date status of all flights and passengers
  • Adhere to all deadlines and turnaround times
  • Attend regular meetings, and complete reports with all pertinent air details including cost per person air average
  • Work independently and report to Air department manager on weekly basis regarding your work program process
  • Protect the confidential information of both LANDMARK and the client
  • Enter all data pertaining to a program’s airline travel in to Triptrak (Landmark’s proprietary software) to effectively create various reports
  • Interact with Operations to ensure all air information is updated and accurate. Reconcile passenger names and all flight data before ticketing
  • Assumes and performs other duties and responsibilities not specifically outlined herein, as requested
Job Skills Required:
  • Minimum of 2 years SABRE GDS experience working within the travel industry
  • Understanding of and ability to do all ticketing, exchange, void, and refund transactions
  • Understanding of different types of airline contracts and fares
  • Ability to forecast group airfares for future group quotes based on research and experience
  • Ability to handle multiple tasks and programs simultaneously
  • Strong and professional detail-oriented with excellent verbal, written, and organizational skills
