Reports To: Director of Planning & Purchasing
Responsibilities Include:
Participate in initial proposal selection with Account Executive and obtain event details in preparation for sourcing.
Consult with Account Executive during research of venues ensuring all requirements are considered in event specifications.
Prepare preliminary budgets and communicate budgetary information throughout the proposal process.
Prepare proposals and client proposal letter
Utilize preferred vendors for quality of service and maximum pricing advantage.
Maintain positive supplier relationships.
Initiate vendor contact for information and pricing on assigned events and travel programs.
Maintain the highest level of quality, professionalism and integrity when negotiating with suppliers.
Negotiate all supplier contracts for the best possible prices and concessions in order to meet client’s expectation
Keep vendors up-to-date on proposal status. Block appropriate space and release all space not needed on a timely basis.
Keep abreast of new destination options, well-priced seasonal destination options and “hot date” offerings.
Coordinate site inspections with suppliers, air and planning departments. Prepare appropriate site inspection material for clients and Account Executives.
Enter and update meeting information in Access based technology. Keep database and savings information accurate.
Monitor hotel penalties and reduction clauses.
Adhere to all deadlines and turnaround times.
Ensure internal and external reporting requirements are met.
Initiate client billing and invoicing.
Schedule turnover meeting with Purchasing Manager at contract signing.
Participate in strategic sourcing initiatives.
Attend and participate in all team meetings
Work independently and report to supervisor on weekly basis
Protect the confidential information of both LANDMARK and the client.
Assumes and performs other duties and responsibilities not specifically outlined herein, as requested
Job Skills Required:
Minimum three (3) years purchasing/meeting planning experience
Proficient in Microsoft Word and Excel
College Degree strongly preferred
Knowledge of accounting and Access database systems
Extensive Travel industry and international destination knowledge
Must be able to come to work promptly and regularly
Must be able to take direction and work well with others
Must be able to work under the stress of and meet deadlines
Must be able to concentrate and perform accurately while meeting applicable productivity measures
Must be able to handle multiple tasks as assigned on a timely basis
