Group Air Planner

Reports to:
Air Department Manager and Air Department Supervisor.

Purpose:
To effectively and efficiently manage all incentive group travel components related to airline travel, and to provide support to our Operations Department through close communication and detailed reports regarding those components. Excellent customer service is essential tothe success of this position.

Specific Duties include:

  • Ensure all airline deposits are paid within appropriate time frames and any unused space is released prior to the penalty dates.
  • Manage all registration components related to Air, including assigning itinerary codes to participants, accommodating special requests, and interacting with participants to book deviation requests and obtain itinerary approvals within established time parameters all while delivering excellent customer service.
  • Create/update PNRs for assigned groups and provide seat assignments per company policy.
  • Enter all data pertaining to a program’s airline travel into Triptrak (Landmark’s database) to effectively create various reports.
  • Frequently review current marketplace fares for each group to ensure best pricing and schedules from group travel cities. Communicate cost-savings and potential penalties to the AE and management.
  • Interact with Operations to ensure all air information is updated and accurate. Reconcile passenger names and all flight data before ticketing.
  • Ensure group carriers are provided with all necessary information (correct names, secure flight data, seat requests, frequent flyer numbers, etc.) within established time frames.
  • Issue tickets according to airline contracts and IATA rules and within established time frames. Update ARC Payment data in Triptrak for Accounting’s financial forecasting.
  • Prepare accurate and complete program notes and reports (TD Books), and also trip kit materials, including flight information sheets (flifos), by given deadlines.
  • Monitor all flights as assigned, and work with airlines and TDs to resolve misconnects and cancellations by providing protection on alternate flights, and resolve problems as, or even before, they occur. Monitor program-specific 800 numbers on flight days. Apprise key staff of up-to-date status of all flights and passengesr.
  • Keep accurate accounting of unused tickets and process exchanges for employee business-related travel.
  • Attend regular meetings, and complete reports with all pertinent air details including cost per person air average.
  • Complete any follow-up tasks, such as refunds, claims forms, and requests for compensation in a timely fashion.
  • Provide accurate and complete final trip billing within 7 days post-trip.

Additional Duties:

  • Assist with VIP, staff, and site inspection reservations and ticketing as needed and assigned by Management or AEs.
  • Book air, car service, and hotel arrangements for upper management and travel staff within given guidelines as needed.
  • Work closely with all airlines and charter operators in a friendly and professional manner and attend industry-related events to ensure a good working relationship with suppliers.
  • Keep abreast of current information regarding airports, airlines, service, new fees, etc.
  • Interact with clients and passengers as needed.
  • Assist with Trams system downloads and ARC reporting as needed.
  • Assume additional responsibilities as deemed necessary by Management.
  • Research air options for future trip destinations providing competitive air price quotes and including any potential issues. Turn in air quotes for review by Manager by deadline given.
  • Block space as required with best possible itineraries at lowest possible pricing for all “sold” trips as assigned.

Requirements:

  • Minimum 4 years advanced experience with air booking and ticketing (2 years with Sabre GDS) with proven skills
  • Full knowledge of booking procedures, ticketing, domestic and foreign fare rules, exchanges, refunds, and voids
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook)
  • Detail oriented with excellent verbal, written, math, organizational and problem-solving skills
  • Experience with group air travel is a plus
